1. Usage & Early Access

GovernanceOS is currently provided in an Early Access evaluation phase. It is provided "as is" as a tool for project governance and management. You retain full ownership of the data and artifacts you generate using the platform.

2. Plans & Fees

GovernanceOS has a Free plan and paid monthly plans (Standard, Pro and Pro for Teams). What each plan includes, such as seats, AI features and the monthly AI token budget, is listed on the pricing page and enforced by the product. The Free plan is for one person working alone and includes no AI features. In a project, the plan of the workspace that owns the project decides which features are available.

Payments are processed by Paddle, which acts as merchant of record for your subscription purchase. Cancellations & Refunds: You may cancel your subscription at any time through your account billing portal. Cancellation will take effect at the end of your current billing cycle. Due to the digital nature of the service, we do not offer refunds for partial months of service unless legally required. Upon cancellation, you will retain access to your paid features until the end of your billing cycle.

3. Your Data

How we process personal data, which sub-processors we use and where your data is stored is described in the Privacy Policy. The browser storage the service uses is listed in the Cookie Policy. You can delete your account and data yourself at any time under Settings, Data custodian.

4. AI Data Processing & Security Annex

Some GovernanceOS features use a large language model (LLM) from OpenAI to help with drafting and auditing.

No model training: Prompts are sent through OpenAI's API, and we have opted out of the use of API data for training. Your prompts, context and generated artifacts are not used to train, fine-tune or improve OpenAI's models.
Limited retention: Your content is encrypted in transit. OpenAI retains API requests for up to 30 days for abuse monitoring, after which they are deleted.
Limited access: The AI has no autonomous access to your database or third-party integrations. It only processes the content an AI feature sends when you use it, such as the text of a draft, an image you upload to derive a design theme, or the governance audit that runs when a scope goes live on a plan with AI.

If your organizational security posture prohibits third-party LLM processing, Workspace Owners and Administrators may turn AI off for their workspace. Within a minute of the change, no AI feature runs in that workspace's projects for anyone, guests included, no content from them is sent to our AI sub-processor, and going live skips the AI governance audit and requires only the signatures. Each user may also turn AI off for themselves.

5. AI Output

AI output can be incomplete or wrong. An AI draft is shown to you for review and is never applied to your project until you choose to apply it. You are responsible for reviewing AI-assisted content before you apply it, sign it or rely on it.

6. Liability

HatStack is not liable for project failures, data loss, or business decisions made based on the artifacts generated by the system.

7. Termination

We reserve the right to terminate or suspend access to our service immediately, without prior notice or liability, for any reason whatsoever, including without limitation if you breach the Terms.
